How Far in Advance to Book Movers in Charlotte

Book Charlotte movers four to six weeks ahead for a move between October and April, and six to eight weeks ahead for a summer move or any date near the end of a month. Long distance moves need eight weeks or more. There is also a North Carolina reason to book early: you are entitled to a free written estimate on a state-approved form, but the mover is not required to give you one if you ask fewer than five business days before the move. Book late and you may be moving on a verbal quote. The answer is to start calling at least six weeks out, ask for a written estimate, offer a weekday, and lock in your apartment elevator before you lock in the crew.

Road Haugs Moving & Storage is a family-owned mover based in Indian Trail with more than 40 years of family experience, and timing is the first question nearly every Charlotte customer asks. We operate under USDOT 2535952 and are an agent for National Van Lines, BBB accredited since 2015, and a member of the North Carolina Association of Movers. Here is what each booking window gets you, when Charlotte is busiest, and what to do if you are short on time.

Booking Windows by Type of Move

Type of move Book this far ahead
Local, October to April 4 to 6 weeks
Local, May to September 6 to 8 weeks
Last days of a month, any season 6 to 8 weeks
Long distance within North Carolina 6 to 8 weeks
Out of state 8 weeks or more
Office or commercial 8 weeks or more
Building with a reserved elevator Add 1 to 2 weeks

The four to six and six to eight week guidance matches moveBuddha’s Charlotte cost data, which also reports that peak dates cost 20 to 30 percent more.

The Five Business Day Rule

North Carolina’s Utilities Commission explains this in its consumer moving guide.

Rule What it means
Free written estimate Available on a Commission-approved form if you ask
Exception Not required if requested fewer than five business days before the move
Small moves Not required for shipments under 500 pounds

A written estimate is where your protections start. With a non-binding estimate, you pay no more than 110 percent at delivery, with any balance due within 30 days. A binding not-to-exceed estimate caps the price outright. Without an estimate in writing, you have neither.

Tip: Ask for the estimate in writing on the first call, even if you are not ready to book. It starts the clock on your options.

When Charlotte Movers Are Busiest

Summer

May through September is peak season. Families move between school years, and demand peaks in June and July.

Month-End

Leases turn over on the first. The last three days of each month and the first day of the next are the hardest dates to get.

Weekends

Saturday books first. Friday and Sunday follow. Tuesday through Thursday are the quiet days.

Big Event Weekends

Large events in Uptown and race weeks at Charlotte Motor Speedway in Concord affect traffic. If your move is near either, check the calendar.

Put those together and the hardest booking of the year is the last Saturday in July. The easiest is a Tuesday in February. Our guide to the best time to move covers seasonal timing in more depth.

What Each Window Gets You

Eight Weeks or More

  • Your choice of date and start time
  • Time for an in-home or video survey
  • Time to compare three written estimates
  • The best chance of a morning slot in summer

Four to Six Weeks

The practical target for most local moves outside summer. You will usually get your date, though maybe not your first choice of hour.

Two to Three Weeks

Fine in winter, tight in summer. Expect to be offered a weekday.

One to Two Weeks

Slots come from cancellations. Get the estimate in writing right away, while you are still outside the five business day window.

Under a Week

Possible, especially mid-week, but you may not get a written estimate. Check the mover’s credentials carefully. Our guide to last-minute movers covers how to do it safely.

Things That Set Your Timeline Besides the Mover

Apartment Buildings

Uptown and South End buildings usually need an elevator or dock reservation and a certificate of insurance. Month-end slots go weeks ahead. Our guide to apartment moving in Charlotte covers building rules and the city’s right-of-way permit.

City Permits

If the truck will occupy a travel lane or sidewalk, Charlotte requires a Right-of-Way Use Permit, requested at least 48 hours ahead for a lane or sidewalk and 10 working days ahead for a full street closure.

Closings

If you are buying, wait for a firm closing date before you lock in the mover, or ask about rescheduling first.

Long Distance

Moves of 36 miles or more in North Carolina are priced by weight and distance, which needs a proper inventory. Allow time for the survey. Our guide to the Charlotte to Raleigh move explains that pricing.

Does Booking Early Save Money?

Usually, in three ways.

  1. Cheaper dates. Mid-week, mid-month slots are still open.
  2. Comparison. Three written estimates show you which one is out of line.
  3. Better hours. A morning start in a Charlotte summer is faster than an afternoon in the heat, and on an hourly move faster is cheaper.

Our guide to Charlotte moving costs shows the price ranges.

A Booking Timeline

When What to do
8 weeks out Request written estimates. Confirm lease or closing dates
6 weeks out Book the mover. Reserve the elevator or dock
4 weeks out Start packing. Sort and donate
2 weeks out Request a right-of-way permit if needed
1 week out Confirm the crew, time, and building
Day before Finish packing. Set aside essentials

Tip: Put a reminder in your calendar to call the mover one week before the move. Two minutes on the phone catches any mix-up while there is still time to fix it.

Questions to Ask When You Call

  • Can you give me a written estimate on the state form?
  • Is it non-binding, binding guaranteed, or binding not-to-exceed?
  • What crew size and how many hours do you expect?
  • What is your North Carolina certificate number, and your USDOT number?
  • What coverage applies, and what does full value protection cost?
  • What happens if my closing or lease date moves?

If You Are Already Late

  1. Call movers directly rather than filling in web forms
  2. Offer any weekday and any start time
  3. Ask for the estimate in writing immediately
  4. Ask to go on a cancellation list
  5. Move the boxes yourself and book movers for furniture only
  6. Confirm the mover holds a North Carolina certificate before paying a deposit
